1. The beta service

TacitDocs turns recordings into transcripts, structured reports, timestamped evidence, and downloadable knowledge-pack files. The service is in beta. Features, limits, providers, availability, and outputs may change, and access may be restricted or paused while the beta is tested.

The current beta offer and limits are described on the Pricing and FAQ pages. A free beta allowance does not promise future free access or a particular paid plan.

2. Your account

You must provide an email address you control and keep sign-in links private. You are responsible for activity carried out through your account. Tell us promptly if you suspect unauthorised access. You must not share or resell beta access, bypass usage limits, create accounts to obtain repeated starter allowances, or interfere with the service.

3. Authority, notice, and consent

You may upload content only when you have the rights and authority needed to record, share, store, transcribe, analyse, and otherwise process it through TacitDocs and its service providers. You are responsible for complying with workplace rules, contracts, confidentiality obligations, recording laws, privacy requirements, and any participant notice or consent requirements that apply to you.

Do not assume that another person's participation in a meeting authorises upload to an AI processing service. If you are unsure, obtain permission before uploading.

4. Prohibited content and conduct

You must not use TacitDocs to:

  • upload content you do not have authority to use;
  • break the law, infringe rights, harass, deceive, or facilitate harm;
  • upload malware, credentials, authentication tokens, or material intended to compromise a system;
  • probe, overload, scrape, reverse engineer, or bypass security or usage controls;
  • present AI-generated content as verified when it has not been appropriately reviewed; or
  • use the service for decisions where an unreviewed error could cause serious harm.

We may block an upload, suspend access, preserve evidence, or remove content when reasonably necessary to protect users, providers, the service, or others.

5. Your content and generated output

You retain whatever rights you already hold in content you upload. You give TacitDocs permission to host, copy, transform, transmit, and otherwise process that content only as needed to provide, secure, support, and improve the service as described in the Privacy notice.

Subject to the rights of other people and any restrictions in your source content, you may download and use the generated output. You are responsible for reviewing it and for how you use or share it.

6. AI output is not guaranteed

Transcripts, timestamps, frames, summaries, steps, decisions, risks, and other output may be inaccurate, incomplete, misleading, or unsuitable. TacitDocs provides review tools and source references, but those controls do not make every result correct. Verify important information against the original recording and qualified human judgment.

The service does not provide legal, medical, financial, safety, compliance, or other professional advice. Do not rely on it as a system of record or as the sole basis for a consequential decision.

7. Availability and changes

TacitDocs is provided on an experimental, as-available basis during the beta. Processing may be delayed, fail, or produce limited output. We may change or discontinue a feature, provider, limit, or the beta itself. Where practical, we will try to communicate material changes and help you retrieve completed output before a planned shutdown.

To the extent permitted by applicable law, no promise is made that the service will be uninterrupted, error-free, secure, or fit for a particular purpose. Nothing in these terms excludes a right or remedy that cannot lawfully be excluded.

8. Deletion and account closure

You can delete an eligible completed or failed session from your workspace. Processing sessions cannot currently be deleted through ordinary workspace controls; contact us for help. Deletion behavior, limited records that may remain, and provider processing are explained in the Privacy notice.

You may stop using the service at any time and request account deletion by email. We may suspend or close access for a material or repeated breach of these terms, a security risk, unlawful use, provider requirement, or discontinuation of the beta.

9. Feedback

If you choose to send product suggestions, you allow TacitDocs to use them without a payment obligation. Do not include confidential recordings, transcripts, credentials, or personal information that is not needed to explain the feedback.

10. Changes and contact

These terms may be updated as the beta changes. A revised version will be posted here with a new effective date. If a change is material, we may also provide notice through the site or service email. Continued use after the new terms take effect means you accept them.
